Terms of Use
_Version 1.0 — effective on first sign-in of every team member._
These Terms of Use ("Terms") govern your use of the Frontdesk visitor
management platform ("Frontdesk", "we", "us", "our") provided by your
employer or the entity that invited you ("Organization"). By signing in you
agree to these Terms on behalf of yourself and your Organization to the extent
you are authorised to act on its behalf.
Please read these Terms carefully. If you do not agree, do not sign in.
1. Who can use Frontdesk
Frontdesk is intended for use by employees, contractors, front desk officers,
and administrators of the Organization. Access is granted by an Administrator
of the Organization. You must be at least 16 years old to use the service.
2. Accounts and authentication
- Your account is identified by the email address at which your Administrator
- invited you.
- Authentication uses a passwordless magic link sent to that email. **You are
- responsible for keeping your email account secure**; anyone with access to
- your email inbox can sign in as you until the magic link expires (15 minutes
- from issue) or you sign out.
- You will complete a one-time onboarding wizard the first time you sign in.
- You must accept these Terms and the Privacy Policy to proceed.
- Administrators can grant you additional roles (Front desk, Admin). When your
- privileges change, existing sessions are revoked and you must sign in again.
3. Acceptable use
You agree not to:
- Access or attempt to access information belonging to other users beyond what
- your role authorises;
- Impersonate another person or misrepresent your affiliation with the
- Organization;
- Upload or transmit material that is unlawful, defamatory, harassing, or
- infringes any third-party rights;
- Interfere with the operation of the service, including scraping, probing,
- or overloading the platform;
- Use the service to violate any applicable law, including data protection
- laws in your jurisdiction.
4. Data you provide
You may provide personal information about yourself (name, photo, phone, job
title, department, office location, working hours) during onboarding, and
about visitors during the invite and check-in flows. You represent that you
have the authority to provide this information and that it is accurate.
Details of how we handle this information are set out in the Privacy Policy.
5. Ownership
The Organization owns all data it inputs into Frontdesk relating to its
visitors, staff, and operations. You retain any personal rights you have in
your own personal information under applicable law.
Frontdesk software, design, and content are owned by us and are protected by
intellectual property law. You are granted a non-exclusive, non-transferable
right to use the service on behalf of your Organization.
6. Confidentiality
You may encounter confidential information about visitors and colleagues in
the normal course of using Frontdesk. You agree to treat that information as
confidential and to use it only for legitimate business purposes.
7. Service availability
We provide the service on a best-effort basis. We do not guarantee that the
service will be uninterrupted, error-free, or free from security incidents.
The service is provided "as is" and "as available" without warranties
of any kind, express or implied, to the maximum extent permitted by law.
8. Limitation of liability
To the maximum extent permitted by law, we and our affiliates will not be
liable for any indirect, incidental, consequential, special, or punitive
damages arising out of or relating to your use of the service.
9. Termination
Your access may be revoked by an Administrator at any time. On revocation,
your active sessions are ended immediately. Data associated with your account
is retained according to the Organization's retention policy.
10. Changes to these Terms
We may revise these Terms from time to time. Material changes will require
you to re-accept the new version on your next sign-in.
11. Governing law
These Terms are governed by the laws of the jurisdiction where the
Organization is headquartered, without regard to conflict-of-laws principles.
12. Contact
Questions about these Terms should be directed to the Administrator of your
Organization. For platform-wide inquiries, contact your Organization's Data
Protection Officer.
**By signing in, you confirm that you have read, understood, and agree to
these Terms.**
